Web forms that file their own tickets
Turning form emails into complete, structured tickets.
The situation
The web forms already created tickets: each submission sent an HTML email to the support address, and that email became a ticket.
But the tickets were hard to read, their content had no structure, and the reporter was an internal address instead of the person who filled in the form.
The process
Before
- Web form
- HTML email
- Unstructured ticket
- Wrong reporter
After
- Web form
- Structured JSON
- Power Automate flow
- REST API
- Complete ticket
What I did
- Worked with the website’s developer so the form sends structured JSON instead of an HTML email.
- Designed and built the Power Automate flow that reads the JSON.
- Created the tickets through the service desk’s REST API, with every required field filled in, including the real reporter.
- Set up a dedicated service account for the API connection, so tickets are created and updated by a bot rather than under an employee’s name.
The result
- of form tickets created complete and structured
- 100%
- required fields left empty
- 0
Each form now produces a readable ticket with the right reporter and every required field filled in.
